How 3PLs keep multiple clients visible on one desk

Account-level visibility without a spreadsheet per customer is the difference between a 3PL desk and a pile of inboxes.

A 3PL desk is a many-to-many problem: many shippers, many carriers, one group of people who must not mix the stories. Spreadsheets appear because each account wants its own truth. The spreadsheet then becomes a second operations system that nobody quite trusts.

One desk, many ledgers

The mistake is either:

  • One giant shared view where Client A sees Client B’s chaos, or
  • A folder per customer that dispatchers refuse to update because it doubles the work.

The workable pattern is one shipment record with an account on it. Dispatchers work the load. Customers see their loads. Finance sees what closed. Nobody re-keys the same ETA into three tools.

What “visible” has to mean

Visible is not a login. Visible is:

  • Which loads are live for this account today
  • Which are exceptioned, and why
  • What the last customer-safe status was
  • What POD exists when the invoice goes out

If that list lives in a weekly Excel email, you will spend Friday reconstructing Thursday.

How FTM approaches it

FTM is built so the operations desk is shared and the customer story is not. Same freight, different depth. That is how a 3PL scales past the point where every account manager keeps a private tracker.

If you run more than a handful of shippers, ask whether your current tool has an account — or just a very long filter on a shared group chat.
